How Many Guests Do You Need to Book an Event Cart?

4 min read

Our minimum group size is 30 guests, and our minimum event duration is two hours. Those two numbers answer the question most people are asking, but they don't tell you whether a cart is right for your event, which is the more useful thing to work out. Guest count affects how the cart feels in the room, how the service window should be shaped, and which concept makes sense, so it's worth a closer look than a single threshold.

Serving Guests From an Event Cart

Here's how guest count actually plays out in planning, whether you're at 30 people or 300.

Why There's a Minimum at All

A cart is a full setup. There's equipment, ingredients, supplies, serving materials, transport, and a team arriving about 45 to 60 minutes ahead to get everything ready. Below a certain size, that effort outweighs what the cart adds to the event, for you and for us.

Thirty guests is where a cart starts to make sense. At that size, there's enough movement in the room for the cart to become a gathering point rather than a table people walk past.

Counting Guests Honestly

Give us your expected attendance, not your invite list. The gap between the two is where most planning problems start.

For office events, count the people actually in the building that day, not total headcount. Hybrid schedules make a real difference, and the Tuesday number and the Friday number are rarely the same.

For private events, count partners, plus-ones, and the family members who show up whether or not they RSVP'd.

For conferences and public-facing activations, the number is less about who's registered and more about how many people will pass your space during the service window. Tell us both and we'll work with the range.

If your number is still moving, say so. Give us the range you're confident about and when you'll know more.

How Guest Count Shapes the Service Window

Two hours is our minimum, and for most groups it's also the sweet spot when the window lines up with a natural break in the schedule.

For smaller groups, a two-hour window tends to feel relaxed. Guests come over more than once, conversations happen at the cart, and there's rarely a line.

For larger groups, the same window feels busier and more concentrated. That energy can be exactly what you want at a launch or a party. If you'd rather it stay unhurried, a longer service window spreads guests out. We'll talk through the trade-off when we know your numbers and your schedule.

What we don't do is quote a fixed number of guests per hour, because the honest answer depends on the concept, the venue layout, and how your event is running. We plan around your specific situation instead.

Guest Count and Cart Concept

Concept choice interacts with size in ways that aren't obvious upfront.

The Coffee and Matcha Cart handles a broad range well, with iced lattes, iced matcha lattes, tea, and almond and oat milk options.

The Mini Cupcake Cart is more participatory, since guests choose from different frosting options and toppings to decorate their own mini cupcakes in vanilla, chocolate, or red velvet. That participation is part of the appeal, and it's worth planning the window with it in mind.

The Dubai Chocolate Berry Cup Cart is built around ingredients like strawberries, bananas, blueberries, chocolate, pistachio drizzle, and kataifi. Not every ingredient or combination is available at every event, so the final menu is confirmed during planning.

A fully custom concept is quoted individually, and guest count is one of the main things that shapes what's realistic.

Space Matters as Much as Numbers

A large guest count in a tight space needs different handling than the same count in an open one. What we need from your venue is suitable access and enough room for the cart to be set up and used comfortably, with space for guests to approach without blocking a doorway or a walkway.

Exact power, water, loading, parking, and space requirements depend on which cart you choose and where the event is held, and we confirm all of it with you before the event.

FAQ

What is the minimum number of guests?

Our minimum group size is 30 guests.

Is there a maximum guest count?

There's no single number. What's workable depends on the concept, the service window, the venue, and the flow of your event, so we plan it with you.

What is the minimum service time?

Two hours. Where that window sits in your schedule is up to you.

Our headcount isn't confirmed yet. Can we still get a quote?

Yes. Share the range you're expecting and when you'll firm it up, and we'll build the quote around that.

Does guest count affect pricing?

Yes. Pricing depends on guest count along with service time, cart concept, menu, location, staffing, and branding.

Do you serve events throughout the Bay Area?

Yes. We serve events across San Francisco and the Bay Area.

Guest count is the first thing we ask about because almost everything else follows from it. Get that number close to reality and the rest of the plan tends to fall into place quickly.

If you have a date and a rough headcount, that's enough to start. Tell us what you're working with and we'll put together a quote built around your event.
