How Event Cart Pricing Works: What Shapes Your Custom Quote
Event cart pricing is built around your event, not a fixed menu price. The quote you receive from Olesia Carts reflects how many guests you're serving, how long the cart is open, which cart concept you choose, where the event is happening, and how much branding or customization you want. That's why there's no single number on our site, and why a short conversation usually gets you a more accurate answer than any online calculator would.

Guest Count Is the Starting Point
The first thing we ask about is how many people you expect. Guest count shapes the amount of product we prepare, the supplies we bring, and how the service is paced across your event window. Our minimum group size is 30 guests, which keeps the cart worthwhile for both sides.
A word of advice from experience: give us your realistic attendance, not your invite list. A 200-person invite with 90 expected attendees is a very different setup from a 200-person all-hands where everyone is already in the building. If your number is still moving, tell us the range you're working with and when you'll firm it up.
Service Time Changes the Shape of the Day
Our minimum event duration is two hours. Beyond that, longer service windows generally mean more product, more supplies, and more staffing time, so they affect the quote.
Service time is also worth thinking about strategically. A two-hour window during a defined break tends to feel busy and lively. The same two hours spread across an all-day conference feels calmer but reaches fewer people at once. Neither is wrong, but they lead to different plans, so it helps to tell us what the schedule looks like.
The Cart Concept You Choose
Each of our concepts has its own preparation, equipment, and ingredient profile, so the concept you pick affects pricing.
The Coffee and Matcha Cart serves drinks like iced lattes and iced matcha lattes, with almond and oat milk options and tea available. It's a natural fit for mornings, afternoon resets, and welcome moments.
The Dubai Chocolate Berry Cup Cart is our dessert-forward option, built around ingredients like strawberries, bananas, blueberries, chocolate, pistachio drizzle, and kataifi. Not every ingredient or combination is available at every event, so the final menu is confirmed during planning.
The Mini Cupcake Cart brings mini cupcakes in vanilla, chocolate, and red velvet, with different frosting and topping options so guests can decorate their own. It works well for celebrations where you want guests doing something, not just taking something.
We can also build a fully custom cart concept around your theme, your idea, and your budget. Custom concepts are quoted individually, since availability and pricing depend on what you're asking for, your guest count, your location, and your timeline.
Location, Access, and Setup
Where your event takes place matters. We serve San Francisco and the Bay Area, and travel distance, loading access, parking, and elevator or freight access all factor into how long setup takes and what the day requires.
Our team normally arrives about 45 to 60 minutes before service begins to set up. We bring the cart, supplies, tools, ingredients, and serving materials included in your confirmed package. What we ask from your venue is suitable access and enough space for the cart to be set up and used comfortably.
Exact power, water, loading, parking, and space requirements depend on which cart you choose and where the event is held. We confirm all of that with you before the event rather than guessing at it upfront, and it's usually a short conversation with your venue contact.
Branding and Customization
Branding is not automatically included, and it's one of the more flexible parts of a quote. Depending on the package and the event, customization can include custom cups, custom straws, cart branding, logo details, colors matched to your company or event theme, or a full branding package.
If you're planning a product launch or a brand activation where the cart is part of the visual story, tell us early. Branded materials often need lead time, and the level of customization you want will show up in the quote.
What to Send Us When You Ask for a Quote
You can move this along quickly by including a few details in your first message: your event date and the service window you have in mind, your expected guest count, the venue or neighborhood, the cart concept you're drawn to or a description of what you're imagining, any branding you'd like, and the budget range you're working within.
That last one isn't a trick question. Knowing your range lets us suggest a version of the cart that actually fits instead of sending you something you have to talk yourself out of.
FAQ
Do you publish standard pricing?
No. Pricing depends on your guest count, service time, cart concept, menu, location, staffing, and any branding, so every quote is built for the specific event.
Is there a minimum booking?
Yes. Our minimum event duration is two hours and our minimum group size is 30 guests.
Does branding cost extra?
Branding isn't automatically included. The options available and how they affect pricing depend on the cart concept, guest count, timeline, and what you're asking for.
How far in advance should I request a quote?
Sooner is better, especially for branded materials or custom concepts. Reach out as soon as you have a date and an approximate guest count, even if details are still moving.
Do you serve venues outside San Francisco?
Yes. We serve events throughout San Francisco and the Bay Area, and location factors into planning and logistics.
Can you work within a set budget?
Tell us your range and we'll be honest about what's possible. Sometimes that means adjusting the service window, the menu, or the level of customization.
Most planners are surprised by how much of a quote is within their control. Shifting a service window by an hour or simplifying a menu can change the picture, and we'd rather have that conversation with you than send a number into the void.
If you're building a budget for an upcoming event in San Francisco or the Bay Area, we're happy to put together a quote you can actually use.
