How to Plan an Office Event With a Mobile Cart in the Bay Area

4 min read

Planning an office event around a mobile cart takes about four decisions: when the cart runs, how many people you're expecting, which concept fits the occasion, and what your floor can physically accommodate. Everything else, we handle. This guide walks through each one in the order it usually comes up, so you can go from a rough idea to a confirmed booking without a long back-and-forth.

Mobile Cart Set Up for an Office Event

Most of the people we work with on office events are office managers, executive assistants, People and workplace teams, and employee experience leads. The advice below is written with that job in mind.

Start With the Moment, Not the Menu

Before choosing a cart, get clear on what the event is doing. An onboarding week welcome, a quarterly all-hands, a return-to-office push, a team milestone, and an employee appreciation day all want slightly different energy.

Once you know the moment, the rest gets easier. A morning all-hands wants something warm and quick. A Thursday afternoon appreciation event wants something that feels like a treat. A team milestone wants something people gather around and photograph.

Pick Your Window

Our minimum event duration is two hours, and our minimum group size is 30 guests. In an office, the two-hour window is more important than it sounds, because office traffic is uneven.

If your team has a standing lunch hour, running the cart across it usually gets the highest turnout. If people are in and out of meetings, a mid-morning or mid-afternoon window catches more of them than either end of the day. On hybrid schedules, pick the day with the highest in-office attendance rather than the day that's easiest to book.

Our team normally arrives about 45 to 60 minutes before service begins to set up. Let your building know, and let us know if the loading dock, freight elevator, or guest check-in needs advance notice.

Choose the Cart Concept

Four options to consider.

The Coffee and Matcha Cart suits mornings, all-hands, and afternoon resets. Drinks include iced lattes and iced matcha lattes, with almond and oat milk options and tea.

The Dubai Chocolate Berry Cup Cart is the dessert-forward choice, built around ingredients like strawberries, bananas, blueberries, chocolate, pistachio drizzle, and kataifi. Not every ingredient or combination is available at every event, so we confirm the final menu with you during planning.

The Mini Cupcake Cart works beautifully for celebrations. Guests get mini cupcakes in vanilla, chocolate, and red velvet and choose from different frosting and topping options to decorate their own, which turns the cart into an activity rather than a queue.

A fully custom cart is an option when you have a specific idea, theme, or company moment in mind. We'll be honest about what's realistic once we know your guest count, location, timeline, and budget.

Check What Your Floor Can Handle

This is the step office teams most often skip, and the one that saves the most trouble.

We bring the cart, supplies, tools, ingredients, and serving materials included in your confirmed package. What we need from your office is suitable access and enough space to set up and serve comfortably, with room for a short line that doesn't block a fire exit or a walkway.

Exact power, water, loading, parking, and space requirements depend on which cart you choose and your specific location, so we confirm all of it with you before the event. If your building has a certificate of insurance requirement, a vendor registration process, or restricted elevator hours, flag it early. Those are the details that turn into last-minute scrambles.

Decide on Branding

Branding isn't automatically included, but it's worth considering for events with an internal message attached, like a launch, a rebrand, or a company milestone.

Depending on the package and the event, customization can include custom cups, custom straws, cart branding, logo details, colors matched to your company theme, or a full branding package. What's available depends on the concept, guest count, timeline, and location, and custom materials need lead time.

Send Us the Details and Get a Quote

When you reach out, include the date, the service window you're considering, your expected headcount, your office location, the cart concept you like, and any branding you want. If you have a budget range, share it. We'll come back with a custom quote and a clear picture of what the day looks like.

Pricing depends on guest count, service time, cart concept, menu, location, staffing, and branding, so there's no standard rate to quote you upfront.

FAQ

How far in advance should I book an office event?

Give yourself a few weeks where you can, and more if you want branded materials or need building approvals.

Can the cart come directly to our office floor?

Yes, as long as there's suitable access and enough space. We confirm access, power, and space details with you before the event.

Is there a minimum number of guests for an office event?

Yes, our minimum group size is 30 guests, and the minimum event duration is two hours.

What does our office need to provide?

Access and space, primarily. Exact power, water, loading, and parking requirements depend on the cart and your location, and we confirm them during planning.

Can we customize the menu for our team?

Often, yes, within what each concept supports. We talk through your ideas and confirm the final menu during the planning process.

Do you serve offices outside San Francisco?

Yes. We work with offices throughout San Francisco and the Bay Area.

Office events live or die on turnout, and turnout follows the things people actually want to walk toward. A cart is one of the few additions that reliably pulls people out of their chairs without a calendar invite reminding them three times.

If you're planning an office event in San Francisco or the Bay Area, send us the details and we'll help you shape it.
